The team at Bismarck Animal Clinic & Hospital is growing - we are looking for Lead Customer Service Representative/Receptionist to join us! 

Job Summary

We are seeking a dedicated and compassionate Customer Service Representative to join our team and lead our customer service area. The ideal candidate will have excellent customer service skills, a positive attitude, and strong organizational skills.  Management or leadership background is required for this position.

 

Major Duties: 1) Answer incoming calls professionally. Route calls to the proper staff members, take detailed messages when needed, and answer inquiries about our services with knowledge and courtesy. 2) Follow established clinic policies and procedures when scheduling clients with pets that are ill, surgical patients, and immunization/well visits. Determine whether immunizations and heartworm tests are current and recommend updates when necessary. Prepare all required forms including clinical records, health and immunization certificates, surgical release forms, and euthanasia forms - in advance when possible. 3) Greet and admit medical and surgical patients, ensuring all appropriate forms such as consent and update forms are signed. 4) Ensure that clients meet all financial obligations (payment at time of service) according to our clinic's policies. 5) Collect and process payments accurately. This includes making change, processing credit cards, and balancing the cash drawer at the end of each shift. 6) Sell and provide information on over-the-counter animal grooming aids, food, and other items. Demonstrate knowledge and salesmanship abilities by explaining and demonstrating products, answering questions, recording sales accurately, and assisting clients with their purchases. 7) Enter, retrieve, and modify data in our Avimark computer system efficiently and accurately. 8.) Manage the front end team to include staff scheduling, building our business schedule within the software, communication with other team members and other members of management, processing deposits, escalation of client concerns, and other administrative tasks.

8) Maintain cleanliness and organization of the reception area, waiting room, exam rooms, parking lot, and sidewalks according to our housekeeping procedures manual. 9) Perform additional duties as required by management to support the effective operation of Bismarck Animal Clinic & Hospital. Skills and Knowledge: 1) Thorough familiarity with Bismarck Animal Clinic & Hospital's procedures for making appointments, assembling medical records, recording test results, relaying information regarding a patient's condition as instructed by a doctor or technician, and compiling and submitting data on patients treated. 2) Working knowledge of the spelling and meaning of common veterinary terms used in our practice. 3) Excellent interpersonal skills with a focus on tact and diplomacy. Your personal contact will be with pet owners, visitors, and other staff members. You must accurately relay an owner's account of the animal's medical problem to the clinic staff members who will treat the patient.
