Bayview Animal Hospital is recruiting for an experienced Veterinary Customer Service Representative. This position will act as an Customer Service Representative- generally to the practice. This position offers opportunity to be involved in all aspects of the Hospital. Thus, we are seeking an individual who has excellent Customer Service, an interest in working with all positions within the hospital and assisting with teaching in techniques and protocols. This individual should be excellent in communication. We are looking for an outgoing individual with a lot of initiative. This individual will be involved with client communications, patient care reminders, communicating with all staff; Applicants should have basic knowledge of the workings of a veterinary practice.

Essential Functions of the Job

  • Cover front desk, answer incoming calls, as needed based on staffing needs.
  • Track & Maintain NVA initiatives, such as but not limited to, Share The Love, Birdeye, Vetstoria
  • Ability to clearly communicate expectations for clients regarding their visit and act as a liaison between them and the service during the course of the visit
  • Ability to address and resolve client issues including appropriate escalation when needed.
  • Maintain a calm demeanor despite potentially stressful situations involving clients and other staff with heightened emotions.
  • Receive patients and ensure they have proper identification
  • Ensure accurate weights are obtained and recorded.
  • Scan documents and attaching them accurately to patient records in the hospital EMR
  • Confirming patient records are up to date and complete
  • Understand charges and what is needed for visit/procedures
  • Audit end-of-day reconciliations and help resolve any discrepancies
  • Monitor Online communications
  • Monitor hospital e-mail accounts
  • Relay the value of charges to clients and answer questions posed by clients
  • Accurately process all types of payments accepted in the hospital including check, cash, credit cards, and CareCredit
  • Able to teach less experience staff on various topics to assist in staff training.
  • Required to attend any scheduled In-service training sessions throughout the year.
  • Must attend -monthly staff meetings Other duties as assigned

This position’s schedule may vary weekly depending on needs of the hospital. Hours are typically 30-40hrs/Week. Hospital is Open Monday through Friday 8:00am to 6:00pm; Saturday 8:00am to 1:00pm.

Monthly Staff Meeting attendance is required.
