We are a thriving thirteen-doctor veterinary hospital known throughout Barrie and beyond for our exceptional patient care and client experience. Our team is deeply involved in community outreach, animal welfare initiatives, and global veterinary projects through The Global Alliance for Animals and People (GAAP). We proudly support local rescue organizations, collect food for the Barrie Food Bank, and maintain AAHA, CVO, Cat Friendly Practice, and Fear Free certifications.

Position Summary
The Exam Room Assistant plays an essential role in creating a positive experience for both clients and patients. Working alongside veterinarians, veterinary technicians, assistants, and client care representatives, the ERA serves as a liaison between the front and back of the hospital while ensuring appointments run smoothly, efficiently, and compassionately.
Key Responsibilities
Patient & Client Care
- Welcome clients and patients in a friendly, professional, and compassionate manner.
- Escort clients and patients to exam rooms and ensure they are comfortable during their visit.
- Obtain and document patient histories, temperatures, weights, and other relevant information.
- Assist veterinarians during appointments by recording medical notes and entering treatments and recommendations into medical records.
- Provide updates to clients regarding hospitalized patients and recovery progress.
- Contact clients when patients are ready for discharge and ensure all personal belongings are returned.
- Conduct follow-up calls to monitor patient recovery and client satisfaction.
Medical & Administrative Support
- Prepare exam rooms between appointments, ensuring cleanliness and appropriate stock levels.
- Accurately document patient information in Cornerstone and other medical records.
- Prepare medications, vaccines, laboratory submissions, and diagnostic requisitions as directed.
- Admit hospitalized patients and maintain accurate census and treatment board information.
- Assist in treatment and patient care areas when required.
- Support communication between reception, veterinary, and support teams to ensure seamless patient care.
- Perform additional administrative and operational duties as assigned.

Qualifications
Required
- Post-secondary education or equivalent experience.
- Strong computer skills and comfort learning new technology.
- Proficiency with Microsoft Office and Outlook.
- Ability to work flexible hours, including evenings and weekends.
- Ability to perform the physical requirements of the position, including standing, bending, and safely handling animals.
Preferred
- Previous experience in a veterinary clinic, medical office, customer service, or related role.
- Experience with Cornerstone Practice Management Software.
- Knowledge of veterinary medical terminology.
- Familiarity with microchip scanners and general veterinary equipment.
