Job Description

Essential Duties and Responsibilities:

  • Capturing and reviewing daily charges from the Electrical Medical Records to ensure standard coding and billing guidelines are followed correctly
  • Communicating effectively and respectfully, both in verbal and written form, with providers or clinical staff to obtain missing or incomplete information as well as updating owners regarding finances
  • Auditing the imported encounters against the daily patient list to ensure all encounters have been captured correctly
  • Providing in a timely manner treatment plans for inpatient and outpatient diagnostics, procedures and hospitalization
  • Accurately posting all payments paid at the time of service to the patient’s account
  • Auditing and balances daily payment totals to treatment/s received or being received to a patient
  • Reviewing and finalizing patient accounts prior to the closing of the workday, with time permitting
  • Reviewing PIMS tracking reports to ensure all encounters are accounted for in a timely manner
  • Always maintaining professional and courteous relationships with all team members
  • Alerting department manager of any issues needing further research

Secondary Responsibilities:

  • Maintaining strong knowledge of veterinary medicine and veterinary terminology, as well as various VCA coding and billing guidelines
  • Utilizing the correct coding initiative when billing for multiple services during the same encounter and understanding how to correctly apply Modifiers
  • Informing Patient owners, Doctors and various support staff when additional account balance reviews are needed
  • Researching financial rejections and working cooperatively with appropriate staff to resolve discrepancies. (i.e. Helping the client apply for Care Credit, Affirm, Scratch Pay)
  • Utilizing various coding and billing references to resolve complex billing scenarios
  • Consistently following internal coding and billing protocols and policies
  • Demonstrating a commitment to expanding coding & billing knowledge by participating in various continuing education opportunities each year
  • Demonstrating a positive willingness to take on additional assignments and responsibilities
  • Providing training to new employees in a timely fashion
