Reports To: Senior HR Business Partner (HRBP)


Job Summary:
We are seeking a highly organized and detail-oriented HR Coordinator to provide administrative and transactional HR support for larger veterinary sites in California, Washington, and Nevada. This role will be responsible for ensuring smooth HR operations by handling day-to-day administrative HR tasks while supporting site leaders and employees with policy interpretation, leave administration, payroll assistance, and compliance-related matters. The HR Coordinator will report to and receive strategic guidance from the Senior HR Business Partner, West Region, along with the Hospital Managers and Division Leaders as appropriate.


Key Responsibilities:

  • Assist with the administration of HR policies and procedures, ensuring compliance with California, Washington, and Nevada employment laws.
  • Provide basic policy interpretation and guidance to employees and managers.
  • Assist in onboarding and offboarding processes, including new hire paperwork and exit documentation.
  • Support leave of absence administration, including tracking, documentation, and compliance with federal and state regulations (FMLA, CFRA, PFML, etc.).
  • Assist with basic payroll administration tasks, including payroll adjustments, timekeeping audits, and ensuring accurate pay practices.
  • Support HR compliance efforts, including record-keeping, training tracking, and required postings.
  • Ensure adherence to OSHA, risk management/workers compensation, and workplace safety requirements and assist in compliance initiatives.
    • California specific: Knowledge and understanding of CalOSHA
    • Washington specific: Knowledge and understanding of L&I Claim management and accommodation process
  • Serve as a point of contact for the administrative functions tied to basic employee relations matters, escalating complex issues to the Senior HRBP as needed.
  • Maintain HR files and records, ensuring confidentiality and accuracy.
  • Support HR projects and initiatives as directed by the Senior HRBP, HMs and DLs.

Qualifications & Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred, or equivalent experience.
  • 2+ years of HR experience, preferably in a multi-site or multi-state environment.
  • Strong knowledge of employment laws in California, Washington, and Nevada required.
  • Familiarity with OSHA regulations and workplace safety standards.
  • Experience in handling leave administration, payroll support, and compliance-related tasks.
  • Basic employee relations experience, with the ability to handle routine inquiries and escalate complex issues appropriately.
  • Proficiency in HR systems (ADP, Dayforce, EthicsPoint) and Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Strong attention to detail, organization, and ability to handle multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience in the veterinary or healthcare industry is a plus.

Work Environment:

  • Remote work with estimated quarterly travel to veterinary sites.
The compensation range for this role is $24.00 - $30.00 per hour and is eligible for benefits
