Job Title: Leave Administrator (TEMPORARY)

Job Summary
The Leave Administrator is an integral part of the Benefits Team, responsible for coordinating and managing employee-facing leave of absence and accommodation requests. Reporting to the Senior Manager, Leave & Disability, this role focuses on ensuring compliance with federal, state, and local regulations while delivering a positive employee experience. The Leave Administrator supports day-to-day operations by assisting employees and managers, maintaining accurate records, and ensuring timely and consistent communication throughout the leave and accommodation process.

This role requires strong case management and organizational skills, along with the ability to manage multiple priorities in a fast-paced environment. It is ideal for candidates with foundational experience in leave administration who are eager to expand their expertise and grow within a supportive and dynamic setting.

Key Responsibilities

• Employee-Facing Leave & Accommodation Coordination:
o Serve as the primary point of contact for employees and managers regarding leave of absence and accommodation inquiries.
o Provide employees with clear and accurate information about their leave and accommodation options, statutory entitlements, and required documentation.
o Coordinate the administration of ADA accommodations, ensuring employees and managers are informed of their responsibilities and next steps.
• Case Management:
o Manage a caseload of leave and accommodation requests, ensuring timely follow-ups and updates to all stakeholders.
o Track and document all employee interactions, requests, and case details in the case management system, maintaining compliance with federal, state, and company regulations.
o Monitor and track leave timelines to ensure appropriate notifications and actions are taken, including approvals, denials, and return-to-work processes.
• Compliance & Documentation:
o Ensure compliance with federal and state leave laws, including FMLA, ADA, and applicable state-specific leave regulations.
o Maintain accurate and up-to-date records of all leave and accommodation cases in compliance with legal and company requirements.
• Collaboration:
o Work closely with HR, Legal, People Operations, Benefits, and managers to coordinate leave and accommodation requests, resolve escalations, and ensure alignment with organizational policies.
o Provide updates to managers and HR teams on the status of employee leaves and accommodations.

Qualifications

• Education & Experience:
o Associate’s degree or equivalent work experience required; Bachelor’s degree preferred.
o 2-4 years of experience in leave administration or a related field.
o Basic knowledge of federal, state, and local leave laws (e.g., FMLA, ADA, state-specific paid leave programs).

• Skills & Competencies:
o Strong case management and organizational skills, with the ability to manage multiple requests simultaneously.
o Excellent communication skills, both written and verbal, with the ability to interact professionally with employees and managers.
o High attention to detail and accuracy in maintaining records and documentation.
o Ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
o Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

• Technical Proficiency:
o Experience using HRIS and case management systems preferred.

The hourly compensation rate is between $30-40/hour.
