Job Title: Vendor Maintenance Specialist

Overview: The Vendor Maintenance Specialist is a critical member of the Accounts Payable team responsible for managing supplier master data and vendor setups in Oracle Cloud. This role ensures the integrity and accuracy of vendor information, supports compliance, and streamlines processes to maintain an efficient Accounts Payable function.

Key Responsibilities: 

Supplier Data Management
o Review and maintain accurate supplier master data, including vendor setups, updates, and deactivations in Oracle Cloud
o Verify vendor information such as W-9s, tax identification numbers, and banking details for compliance with company policies
o Perform regular audits of supplier records to ensure data integrity
o Support Accounts Payable projects and initiatives as assigned

Stakeholder Communication
o Respond to vendor and internal inquiries in a timely and professional manner
o Collaborate with procurement, compliance, and accounting teams to address supplier-related issues

Compliance & Reporting
o Assist in 1099 preparation, including W-9 collection and verification
o Generate reports related to vendor activity and master data as needed
o Ensure compliance with company policies, procedures, and applicable regulations

Minimum Knowledge, Skills, and Abilities
o High school diploma required, Bachelor’s degree preferred
o 3+ years of Accounts Payable experience with a focus on vendor data management
o Experience working in a paperless or automated environment
o Strong attention to detail with proven ability to handle large volumes of data accurately
o Advanced proficiency in Microsoft Office (Excel, Word)
o Strong organizational and time management skills, with the ability to prioritize tasks in a fast-paced, deadline-driven environment
o Effective written and verbal communication skills
o Problem-solving skills and ability to work independently or as part of a team
o Strong work ethic and resourcefulness in identifying solutions
