The Role


NVA is seeking a Vendor Coordinator to support the Procurement Department in their operational initiatives.  Specifically, the Vendor Coordinator will support Procurement in maintaining vendor relations, facilitating communication between internal stakeholders and external suppliers, and participating in the review, renewal, and management of vendor documentation.

The ideal candidate has 1 to 3 years’ experience in vendor interactions. Experience should include a mix of contract review, quoting, generating purchase orders and invoicing. The Vendor Coordinator must demonstrate an ability to manage meetings, communicate clearly, and be capable of explaining procurement processes. The Vendor Coordinator will be involved in contract compliance, vendor performance evaluation, contract implementation, and problem resolution. Key Responsibilities

  • Vendor management
    • Coordinate and facilitate communication between internal NVA staff and external vendors
    • Maintain and protect vendor information such as contact and banking details
    • Enforce best practices for procurement
    • Have a general understanding of the services and goods being provided
  • Document management
    • Maintain vendor documentation for contracts, agreements, and identification
    • Ensure key stakeholders are informed timely of contract renewals
    • Monitor and support internal processes for purchase orders and invoices
    • Standardize document repositories across vendors
    • Have a general understanding of document types and requirements
  • Problem management
    • Resolve NVA GP tickets around Oracle purchasing, vendor concerns, procurement processes, and contract terms
    • Communicate clearly on behalf of the Procurement department
    • Support internal NVA staff with troubleshooting and resolving malfunctions when using procurement tools
    • Be knowledgeable of company initiatives being affected by procurement
    • Improve procurement processes based on feedback from stakeholders

Skills and Specifications

  • Experience with industry standard software such as Microsoft Office suite; Oracle Fusion Cloud is a plus
  • Demonstrable understanding of price quotes, purchase orders, and invoices
  • Exposure to database handling and usage
  • Basic understanding of contractual language such as Terms and Conditions, Statement of Works, and Service Level Agreements
  • Basic understanding of financial concepts such as GL codes, payment terms, accruals, COGS, and payment methods
  • Demonstrable experience in being detail oriented
  • Capable problem solver with the ability to understand and diagnose errors within procurement tools and contracts
  • Organized and able to effectively manage one’s time
  • Can comfortably collaborate with internal departments, field team, and external vendors
  • Basic project management capabilities; Proactive with diligent follow through

Qualifications

  • Bachelor's degree in Supply Chain, Economics, Finance, Statistics, Computer Science, Business Analytics, Marketing, Mathematics, Healthcare Administration, or equivalent work experience
  • Minimum of 1 year of experience in an analyst role or related responsibilities
  • Minimum of 1 year of experience managing projects
  • Minimum of 1 year of experience working in Procurement / Supply Chain
  • Excellent communication skills

Animal Health Experience is a plus!


Compensation

The compensation range is between $75,000-$85,000 with opportunity for incentives, excellent benefits including health insurance, 401k, and flexible vacation time.
