Key Responsibilities

  • Greet clients and patients by name with warmth and compassion

  • Triage client concerns to ensure appointments are booked accurately

  • Manage incoming emails, texts, and phone calls

  • Efficiently and accurately process payments

  • Schedule future appointments within appropriate timelines

  • Complete daily reports and assigned tasks

  • Admit patients for appointments, surgeries, and procedures

  • Weigh patients upon arrival

  • Counsel clients on basic nutrition, pre- and post-operative care, and treatment instructions

  • Promote hospital goods and services to clients

  • Address client concerns and questions, referring to the appropriate veterinarian or supervisor when necessary

  • Accurately place medication and food orders

  • Coordinate smooth client and patient flow within the hospital

  • Maintain cleanliness according to hospital checklists

  • Calm and caring demeanor when handling patients

  • Comfort and passion for working with all types of animals

  • Detail-oriented with excellent organizational and multi-tasking skills

  • Team-oriented with strong interpersonal and communication (verbal, written, and telephone) skills

  • Ability to maintain confidentiality


Required Qualifications

  • 2–3 years of experience as a Client Services Representative, preferably in health care (animal or human)

  • Proficiency with current technology, including Microsoft Office and email systems

  • Flexibility to work various shifts, including evenings and weekends


Preferred (but not required – we are happy to train):

  • At least 1 year of experience in a veterinary hospital

  • Familiarity with Cornerstone software

  • Basic understanding of medical terminology
