Job Description

Position Overview:
We are seeking a highly professional, detail-oriented Client Service Representative / Administrative Assistant to join our established and growing equine veterinary practice. This role is best suited for an individual with a strong horse background who thrives in a fast-paced medical environment and takes pride in delivering exceptional client service.

This is not an entry-level position—we are looking for someone who is dependable, proactive, and interested in developing a long-term career within the veterinary field.

Key Responsibilities:

  • Serve as the primary point of contact for clients, delivering a polished and efficient service experience
  • Manage a high volume of incoming phone calls, including:
  • Appointment scheduling
  • Client inquiries and education
  • Triage of urgent and emergency situations
  • Coordinate daily appointment flow across multiple veterinarians and technical staff
  • Accurately process payments and maintain financial records
  • Maintain precise and up-to-date client and patient records within practice management software
  • Manage email and mail correspondence in a timely and professional manner
  • Ensure the reception and client areas reflect a clean, organized, and welcoming environment
  • Contribute to the overall efficiency and professionalism of daily hospital operations

Required Qualifications:

  • Hands-on experience working with and around horses (required)
  • Proven customer service experience in a professional setting
  • Excellent communication skills (phone, written, and in-person)
  • Strong organizational skills and attention to detail
  • Ability to multitask and remain composed under pressure
  • High level of reliability, accountability, and professionalism
  • Interest in a long-term, career-oriented position

Preferred Qualifications:

  • Experience in a veterinary or medical office setting
  • Familiarity with practice management software

Schedule:

  • Monday–Friday, 8:00 AM – 5:00 PM (1-hour lunch)

About Our Practice:
We are a busy and continuously growing equine veterinary facility with 11 veterinarians on staff. Our practice is known for providing high-quality care and maintaining strong, long-term relationships with our clients.

Located in Wisconsin’s Lake Country area, our clinic offers access to a safe, welcoming community with abundant outdoor recreation, including parks, trails, and year-round activities.
