As one of the most technically advanced practices in the country, our services include digital radiography, ultrasound, nuclear scintigraphy (bone scan), onsite MRI, state-of-the-art surgical suites, and shockwave therapy, among others.

Responsibilities:
- Answer and manage a multi-line phone system
- Transfer calls to appropriate staff members
- Take detailed messages and ensure timely delivery to the appropriate team member
- Address client needs and requests over the phone, including:
- Health certificates and health statements
- Sending medical records (images, history, vaccine records, Coggins, bloodwork, rabies certificates)
- Answering billing inquiries
- Process payments over the phone
- Enter and manage checks received via mail or lockbox
- Deposit checks using remote deposit system and prepare bank deposits (including cash, when applicable)
- Send and enter client contracts
- Assist with accounts receivable (AR)
- Support month-end processes, including preparing statements and processing credit cards (15th of each month or next business day)
- Schedule appointments for three (3) veterinarians
- Maintain organized filing systems for vendor invoices and patient records
- Distribute insurance forms to appropriate doctors and mail completed forms
- Monitor and respond to voicemail messages each morning
- Manage phone service system (turn on/off daily and coordinate on-call doctor coverage)
- Monitor and respond to both personal work email and general inbox (info@fairfieldequine.com)
The Ideal Candidate:
- At least two years of experience in the sport horse industry preferred
- Motivated, dependable, and highly organized with a strong work ethic
- Passion for equine athletes and client care
- Strong communication skills (written and verbal)
- Basic veterinary knowledge of services and products
- Proficient in Microsoft Office, email, and practice management software
- Strong multitasking skills with attention to detail
- Ability to pass background check and drug screening
Anticipated Schedule:
- Full-time position
- Monday – Friday, 8:00 AM – 5:00 PM (1-hour lunch break)
Compensation & Benefits:
- $1,000 Sign-On Bonus
