VETERINARY ASSISTANT MANAGER HOSPITAL

Job Summary

The Assistant Hospital Manager role is a leader role and an integral member of the veterinary hospital management team. The Assistant Hospital Manager partners with the leadership team to provide a smooth and profitable operation by overseeing operation and leading the team while creating a hospital culture based on high quality patient care and exceptional customer service. Responsibilities include managing, planning, and assisting with coordinating the overall operations of the hospital, and cultivating a supportive and collaborative team environment with all department leads and staff. We are looking for a visionary that can assist this high volume/ high growth hospital with its even bigger goals for the future.

Job Duties and Responsibilities

Operations

·       Oversees employee day to day performance and provides training and support to ensure employees are trained and have the tools to meet the expectations of their role and the business needs.

·       Train on policies and procedures and monitors employees in all aspects of job performance, including DEA/Controlled Substances and OSHA compliance.

·       Performs quality checks and reviews of any records or client files as needed.

People Management

·       Partners with the Hospital Leadership Team and department leads to address staffing needs including hiring, training, reviewing, and accountability process.

·       Participates in review process, which may include documentation, feedback and follow up.

·       Develop and implement ideas to motivate, incentivize, reward and recognition employee performance.

·       Manages staff, including grooming and boarding staff if applicable.

·       Manage training and development to ensure all employees are successful and able to reach their full potential.

·       Manage a team of diverse employees in different positions and provide growth and training to all levels of staff.

Client Service

·       Demonstrates and reinforces the highest level of client service

·       Resolves client issues and escalations, and oversees client follow-up communication.

·       Assists with driving revenue or increasing client visits by helping build strong employee/client relations ships through training and communication. 

·       Ensures payroll is accurately completed and submitted for all hospital staff.

·       Helps manages accounts receivable and or cash on hand, including performing invoice audit reviews.

·       Helps manages hospital inventory and controls facility and administrative costs.

·       Performs other duties essential to the performance of the hospital as assigned.

Qualifications:

·       High School Diploma is required.

·       Associate or Bachelor Degree is preferred.

·       Veterinary Medicine experience is preferred.

·       Certified Veterinary Practice Management (CVPM) is a plus.

Knowledge and/or experience in the following areas:

·       Ability to manage situations and make business decisions in a manner that leads to positive outcomes.

·       Ability to build and nurture business relationships in order to achieve the overall business common goal.

·       Manage time and tasks appropriately and remain flexible with assigned duties.

·       Supervisory and leadership experience preferred.

·       Able to use reporting and data analysis to evaluate business needs.

·       Problem solving and resolution management skills.

·       Oral and written communication skills.

·       Basic computer skills i.e. Microsoft Office suite (Previous practice management software knowledge preferred).

·       Interpersonal skills with staff and clients, and works well in a team environment.

·       Customer service strategies and effective marketing techniques.

·       HR policies and protocol development.

·       Staff management including: coaching, developing, and motivating staff.

·       Delegate responsibility to achieve results with hospital team members.

·       Make decisions confidently and effectively.

·       Model a professional and courteous manner with staff and clients.
