Black Dog Veterinary Services in beautiful Bozeman, MT is seeking a client service representative to join our team. We are a progressive small animal veterinary hospital that offers advanced surgeries, dental procedures and innovative medical treatments in traditional medicine and alternative options. No weekends, no after hours, and a four-day work week! Experienced CSR is preferred but willing to train the right candidate.  

Customer Service Representative 

Job Summary: 

The CSR will be expected to schedule client appointments, interact with potential new clients, place follow-up and confirmation calls, send and respond to emails, as well as many other duties. Experience in a similar position preferred but not required, willing to train the right candidate. Experience with ezyVet preferred but not required. 

The individual in this position will need to be a self-initiator, highly capable of prioritizing responsibilities, and have a high level of communication. They must possess a patient, professional, and kind demeanor when interacting with clients and other staff members.  

 

Job Duties and Responsibilities 

  • Greet clients in a friendly manner 

  • Manage daily appointment schedule in efficient manner 

  • Communicate with other staff members clearly 

  • Escort patients and clients to exam rooms and ensure client comfort 

  • Utilize Fear Free techniques  

  • Process payments and send estimates when completed by technician 

  • Confirm scheduled appointments and procedures 

  • Invoice sale of over-the-counter products and prescription food 

  • Take refill requests and send to appropriate staff members 

  • Advanced booking of appointments 

  • Handle cash, checks, and card payments. 

  • Ability to count and balance cash drawer as needed 

  • Prepare bank deposits 

  • Proficient at record keeping, including medical records, client information, new client forms, and communications with clients. 

  • Cleaning of exam rooms after each patient 

  • Keeping front lobby clean and uncluttered 

  • Perform daily, weekly, and monthly housekeeping tasks 

  • Notify Hospital Manager of areas that need professional service or repair 

This is not an inclusive list, and the CSR may be expected to perform additional tasks and duties. 

 

Qualifications 

  • High school diploma or GED 

  • Experience in customer service preferred, clinic setting a plus 

  • Knowledge of basic computer skills and Microsoft programs or similar 

  • Excellent written and verbal communication skills and friendly, professional manner

The base salary range for this full-time position is $41,600 - $47,840. Our salary ranges are primarily determined by role, level, and location. The range provided for each job posting reflects the minimum and maximum target salaries for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training
